§ 01What to include

Useful detail for a first message

A reply is more useful when the message explains the situation rather than only asking for a quotation. The points opposite are a guide, not a requirement.

  • The goal

    What should be true once the work is finished, described from the point of view of the people who will use the result.

  • Current situation

    Systems, tools or spreadsheets already in use, and what is not working well about them.

  • Users

    Who will use the system and roughly how many of them, internal or external.

  • Constraints

    Deadlines, internal policies, hosting requirements, integrations that cannot change, or budget limits.

  • Timing

    When the work needs to start, and any fixed dates it must fit around.

  • Existing material

    Documents, diagrams, specifications or access to a repository, if they exist.

§ 02What happens next

After the message arrives

The enquiry is read in full and answered with either a set of clarifying questions or an outline of how the work could be approached, including the parts that look uncertain.

If the request falls outside the areas the company works in, the reply says so plainly rather than stretching the scope.

Written information shared in an enquiry is treated as confidential and used only to respond to that enquiry.
